1. Scope of Terms and Conditions

At Dees Immo Consulting, LLC (hereinafter "Dees Immo"), we facilitate the booking process between our clients and their guests. Please note that the Terms & Conditions outlined here are established and employed by our clients, and by making a reservation, you agree to comply with these terms. These terms govern all bookings made through our platform and are designed to ensure a smooth and transparent experience for both you and our clients.

By making a reservation through our website, phone, email, or chat, you acknowledge that you have read, understood, and agreed to be bound by these Terms & Conditions. These terms are legally binding and intended to foster a seamless, efficient, and enjoyable experience for all parties involved. They cover essential aspects of the booking process, including reservation procedures, cancellation policies, house rules, and guest responsibilities during your stay.

We strongly recommend that you thoroughly review these terms before confirming your booking to avoid any misunderstandings. By confirming your reservation, you provide your consent to adhere to these terms and conditions.

 
2. Booking and Reservations

To make a reservation, simply select your desired property and check the availability on our booking platform. Once you submit a booking request, someone from our team will reach out to you within 1-2 business days to finalize the details. At this time, payments are processed directly through us and cannot be made via the website. We accept all major credit cards and can process your payment over the phone, via text message, or email. For one-time charges, we can send you a payment link for easy processing. However, for longer-term bookings with recurring charges, a credit card must be kept on file to facilitate payments.

Please note that your reservation is not confirmed until payment has been successfully processed. If the payment is not successfully completed, your reservation will not be finalized.

In cases where the number of guests exceeds the standard occupancy (assumed to be 2 guests unless otherwise stated), additional charges may apply. Pets are subject to additional cleaning fees, and in some cases, a daily charge may apply. Some properties may have a strict no-pet policy. Furthermore, any damages to the property during your stay will be charged to the guest’s credit card, and the guest will be held responsible for repair or replacement costs as necessary.

 

3. Cancellation Policy

Guests are eligible for a full refund for short-term bookings if the cancellation is made at least 5 days prior to check-in. Short-term bookings are defined as stays with durations of less than 30 days. This policy ensures that we have adequate time to adjust our booking schedule and accommodate other guests. Cancellations made within 5 days of check-in are not eligible for a refund.

For reservations exceeding 30 days, different cancellation requirements apply depending on the billing cycle. For reservations billed every two weeks, a minimum of the number of billing days is required as notice to qualify for a refund. For example, if a guest’s invoice covers a 13-day period, the guest is required to provide at least 13 days’ notice. Similarly, if the billing period is 17 days, the guest must provide 17 days’ notice. For reservations billed on a monthly basis, a minimum of 30 days’ notice is required. These notice periods allow us to manage longer-term bookings effectively.

In the case of PCS (Permanent Change of Station) orders, if the guest is required to depart earlier than expected due to military orders, we offer an exception to the above cancellation policy. Guests may depart without adhering to the standard cancellation notice periods. However, we require that such changes be communicated immediately upon receiving the PCS orders. Failure to notify us promptly may result in the guest being held to the regular cancellation periods outlined above.

Please note that credit card processing fees are non-refundable. Additionally, if a refund is processed back to a credit card, any fees incurred for the refund transaction will also be non-refundable.

Refunds will be processed promptly upon receipt of a valid cancellation request. By making a reservation, you agree to these terms and conditions.

 
4. Check-in and Check-out

Check-in times are typically from 2:00 PM onwards on the day of your arrival, and check-out is by 12:00 PM on the day of your departure. This allows us sufficient time to prepare the property for incoming guests. If you anticipate arriving earlier than the standard check-in time or need to check out later, please contact us in advance to inquire about availability. While we cannot guarantee early check-in or late check-out, we will do our best to accommodate your requests. If additional charges apply for early or late check-ins, we will inform you beforehand. Any requests for late check-out or early arrival are subject to property availability.

 
5. House Rules

To ensure an enjoyable and seamless experience for all guests while preserving the quality of the property, we have outlined the following house rules. These include, but are not limited to, a strict no smoking policy inside the property, no pets unless explicitly agreed upon in advance, and limitations on the number of guests. Unless otherwise specified in the reservation, the guest count is assumed to be 2. Exceeding this occupancy may result in additional charges.

Please note that pets may incur additional cleaning fees, including, in some cases, a daily charge. Certain properties do not permit pets under any circumstances.

We do not generally permit parties or events. Guests are asked to be considerate of the neighbors and to avoid disturbances, particularly during late-night hours. Any damage to the property or missing items caused by guests will be charged to the guest’s credit card, and the guest will be held responsible for any necessary repairs or replacements.

6. Security Deposit

A security deposit may be required at the time of booking, depending on the property and duration of your stay. This deposit serves as protection against any damages or violations of the house rules during your stay. The amount of the deposit will be outlined in your reservation confirmation. After you check out, we will conduct a thorough inspection of the property. If no damages or issues are found, your deposit will be refunded in full. However, if damages are found or if any house rules were violated, the necessary repair or replacement costs will be deducted from your deposit. Refunds for the security deposit will be processed within 7-10 business days following the check-out date.

 
7. Emergency Contact Information

In case of an emergency requiring immediate assistance and you are unable to reach us directly, please contact the emergency number assigned to your specific apartment listed below. It is essential that you only use the emergency contact number corresponding to your apartment, as other numbers will not be able to assist you effectively.

We kindly ask that you make every effort to contact DEES IMMO Consulting as your first point of contact. Emergency numbers should only be used for urgent situations that require immediate attention. Please refrain from contacting these numbers for routine inquiries, such as billing questions, reservation extensions, or non-urgent matters.

Your cooperation ensures that emergencies are handled swiftly and efficiently, and we thank you for adhering to these guidelines.

8. Liability and Insurance

While we take every measure to ensure your safety and comfort during your stay, we cannot accept liability for any accidents, injuries, loss of personal property, or damages that occur during your stay. It is strongly recommended that guests purchase travel insurance to cover any unforeseen events, including trip cancellations, medical emergencies, or damages to personal items. We also encourage you to review the safety instructions provided within the property to help avoid accidents.

Please note that we are not responsible for any loss or damage caused by third parties, such as natural disasters or disruptions from other guests. Additionally, our cleaning personnel are trained to maintain the property to the highest standards, but we do not assume responsibility for any personal belongings left unattended or unsecured.

For added security, all our apartments are equipped with safes, and we strongly encourage guests to use these safes for storing valuables during their stay.

9. Privacy and Data Protection

Your privacy is important to us, and we are committed to protecting your personal information. Any data we collect through the booking process is used solely for reservation purposes and will not be shared with third parties without your consent, except for third-party payment processors who may require certain details to complete your transaction. We follow strict security measures to safeguard your information, including encryption protocols for payment processing.

10. Governing Law and Jurisdiction

Unless otherwise specified in these Terms and Conditions, the rental of property shall be governed by the laws of the country where the property is located, specifically Germany. By utilizing the services provided under these Terms and Conditions, the Guest irrevocably consents to the exclusive jurisdiction of the courts in Germany and submits to the personal jurisdiction of those courts for any legal matters related to the rental.

11. Force Majeure

Neither party shall be held liable for failure to perform its obligations under this Agreement if such failure is caused by circumstances beyond its reasonable control, including but not limited to acts of God, war, civil unrest or other events outside of its control. The affected party shall promptly notify the other party of the delay or non-performance and make all commercially reasonable efforts to mitigate or resolve the issue. All other obligations not impacted by the force majeure event shall remain in full effect during the period of suspension caused by the event.
